The Six Questions Every Club Shipment Has to Answer

A club release should be a chance to share the wines you have been excited about all season. It also puts a lot of work into a short window: orders to review, member changes to resolve and boxes to get out the door.

The same questions come up each time. Keeping the answers with the orders helps the team spend its attention on the exceptions.

The six questions

Can we ship to this destination? Check the applicable rules for the destination and your business type. A state name alone may not settle the question for every address or transaction.

Do we hold the required current license? Review the license information for the destination. A member's move or a renewal date can change what needs attention.

Is the order within the applicable volume limit? Where a limit applies, use the required measurement, recipient definition and reporting period. Include relevant prior shipments rather than looking only at this club order.

Are the required age checks and delivery arrangements in place? Confirm the requirements for the transaction and the evidence available. An order check does not replace the carrier's required delivery procedure.

Does the destination have local restrictions? Where local restrictions apply, review the actual destination and any address uncertainty that could affect the decision.

Can the selected carrier deliver wine there? Confirm carrier coverage and the service being used, along with the winery's shipping arrangements.

Put the review into the order workflow

Give the exceptions an owner

An automated check is useful when the team knows what happens after it flags something. Decide who reviews held orders, how missing information is corrected and who can approve release. Review the integration's behavior if a check cannot be completed, too.

Keep license information and order data current. A change of address, a revised order or unresolved verification should be handled in the workflow before the shipment is released. The purpose is a clearer review queue and a record of the decisions made.
