Working With Your Accountant, Not Around Them

Most wineries have someone they rely on to make sense of the month: an outside accountant who has been there since the first vintage, a bookkeeper who knows the club's habits, or a compliance consultant who keeps track of the filings.

Making that person's work easier is part of making the business of wine more joyful. When we talk about automation, that relationship belongs in the conversation from the beginning.

Give judgment a better starting point

Your accountant knows which differences need investigation, how an unusual transaction should be treated and when a question needs another source. Better preparation gives them more room for that work.

That process still depends on the source data and the configuration. A refund missing from an export or an account mapped incorrectly needs to be found and corrected. Automation is most useful when it makes those questions easier to trace.

Connect the reporting with the books

Supported QuickBooks and Xero workflows help carry relevant entries into the accounting system. Your accountant should review the account mappings, the entries being posted and the reconciliation to the books before relying on the process each month.

The objective is consistency that can be checked. Sales totals, tax liabilities and filing figures need to be understandable in terms of the transactions and adjustments behind them.

The desktop application prepares reports and supports assisted filing for supported forms. Your accountant, compliance professional or other authorized person reviews and completes the submission. If you engage Managed Filing, the separate written service scope defines how that work is handled.

Make the handoff easier

Organized records and a documented review process can make leave coverage and staff transitions easier. They give the next authorized person a place to start.

For leave coverage, decide who can review and submit the return, what access they need and how approvals will be recorded. The system supports that plan; the team still owns it.
